If you are eligible for Commission-sponsored travel and accommodation, the Contractor will contact you after registration with practical arrangements and deadlines.

Eligible travel dates: travel is foreseen around the event on 4 March 2026 only. As a general rule, arrivals should be planned for 3 or 4 March 2026, and departures for 4 or 5 March 2026. Any deviation must be requested in advance and approved in writing.
Travel mode (train first): in line with applicable rules, train options will be proposed first, and air travel only where necessary/eligible under the rules in force.
Booking process (travel agency): the Contractor is your main point of contact and will liaise with the travel agency Degen to arrange and book your ticket(s).
Response time: to ensure smooth booking and the best possible availability, participants are requested to reply within 24–48 hours to travel proposals and any follow-up questions. Delayed replies may impact availability and fares.
Travel reimbursement / documents: travel costs are covered/reimbursed only upon prior confirmation and against valid supporting documents (e.g. tickets/boarding passes, invoices and proof of payment), as applicable.
Accommodation: hotel accommodation is provided only for eligible sponsored participants and is limited to a maximum of 2 nights per person (typically 3–5 March 2026), subject to availability and approval.
Hotel booking & changes: hotels must be booked through the Contractor within the allocated room block. Changes outside the agreed deadlines may result in cancellation fees, which may be charged to the participant/organisation.
